How to Plan a QR Code That People Can Actually Use

A QR code is a visual way to open a web address with a phone camera. It can connect printed material to an online page, but it only works well when the destination and design are planned for real people.

Begin with a mobile-friendly destination

Most QR scans happen on a phone. Before generating a code, make sure the destination loads quickly, uses readable text, and does not require unnecessary sign-in steps. A code leading to a desktop-only page creates a poor experience even if the scan succeeds.

Give the code a clear purpose

Place a short instruction next to the code: “View the menu,” “Get directions,” or “Read the guide.” People should know what they will receive before scanning. A visible web address is also a helpful alternative for visitors who do not want to scan.

Protect scan reliability

Keep enough contrast between the code and its background. Do not stretch the image, place it over a busy photo, or make it too small for the viewing distance. Print a test copy and scan it with more than one device before producing a large batch.

Use a stable link

A short link can make a QR code easier to manage. If you need to update a campaign destination later, a managed short link may let you retain the printed QR image while updating the destination for the same purpose. Never change it to an unrelated or misleading destination.

Respect privacy

Do not use QR codes to collect personal information without a clear explanation. If the destination uses forms, cookies, or analytics, provide the appropriate notices on the page itself.

The best QR codes are simple: a clear promise, a useful mobile destination, and a reliable path from paper to screen.
